Terms of Service

01Acceptance

By creating an account on Coachbot (the “Service”) you agree to these terms. If you're using the Service on behalf of an organisation, you confirm you have authority to bind it.

02What the Service does

Coachbot lets you collect inbound leads via a hosted form, qualify them via an AI agent over WhatsApp, and book them onto your calendar. You configure the agent persona, the questions it asks, and the integrations it uses.

03Your account

  • Keep your password and any pasted integration credentials secret. Activity through your account is your responsibility.
  • You're responsible for the credentials of any teammates you invite to your workspace.
  • Notify us promptly at [support@yourdomain] if you suspect unauthorised access.

04Acceptable use

You agree not to use the Service to:

  • Message anyone who hasn't opted in via your public form (or another lawful basis you can demonstrate).
  • Run unsolicited bulk outreach, spam, or anything that violates Twilio's, Meta's, or your local marketing laws.
  • Impersonate another business or a real individual the agent isn't authorised to represent.
  • Collect or process special-category personal data (health, biometric, etc.) without an appropriate lawful basis.
  • Attempt to reverse-engineer or disrupt the Service, or use it to harm or harass anyone.

We may suspend or terminate accounts that violate these rules.

05Third-party services

The Service depends on third parties (Twilio, OpenAI, Cal.com, Neon, Vercel, Inngest) listed in our Privacy Policy. You agree to their terms as they apply to your use, especially Twilio's Acceptable Use Policy and Meta's WhatsApp Business policies. Outages or changes to those services may affect Coachbot.

06Pricing

The Service is currently free during early access. We'll announce paid plans at least 30 days before they apply. When you bring your own Twilio / OpenAI / Cal.com keys, those vendors bill you directly — Coachbot does not mark up or proxy their charges.

07Your content + IP

You retain ownership of the leads, transcripts, and configuration stored in your workspace. You grant us a limited licence to process this data solely to operate the Service for you.

The Coachbot brand, code, and design remain ours. You may not resell or relicense the Service to third parties without our written permission.

08Termination

You can stop using the Service at any time and request account deletion at [support@yourdomain] (self-serve is on the roadmap). We may suspend or terminate accounts that breach these terms or that are inactive for 12+ months. Sections that should reasonably survive termination (IP, liability, governing law) do.

09Disclaimers + limitation of liability

The Service is provided “as is” without warranties of any kind, express or implied. We don't promise the AI agent will say the right thing, that messages will always be delivered, or that bookings will always go through.

To the maximum extent allowed by law, our total liability arising from your use of the Service is limited to the greater of (a) the fees you paid us in the 12 months before the claim, or (b) £100.

10Governing law

These terms are governed by the laws of [jurisdiction]. Disputes go to the courts of [venue].

11Changes

We may update these terms occasionally. Material changes will be announced to workspace owners by email at least 30 days before they take effect. Continued use after the effective date counts as acceptance.
